Stay on Track: Reporting, Records, and Awards

As we continue through the Key Club year, staying organized is one of the easiest ways to make sure your club receives credit for all the work you’re doing. From service projects to meetings and fundraising, make sure your club is keeping accurate records and reporting your activities!

Each month, clubs should complete the Monthly Report Form to keep the Georgia District updated on what your club is accomplishing. Be sure to report your meetings, service projects, service hours, fundraisers, and other important club activities.

Tip: Don’t wait until the end of the year to remember what your club did! Keep a running record throughout the year so submitting your reports is quick and accurate.

You can find the Monthly Report Form and other helpful resources through the Georgia Key Club website. Make sure your officers are communicating with one another and keeping copies of important records.

It may seem early to think about awards, but January 31, 2027 will be here before you know it! Many Georgia District and Key Club International award applications are due by this date.

Key Clubs can apply for awards recognizing areas such as:

• Outstanding service projects

• Major Emphasis projects

• Georgia Sheriffs’ Youth Homes involvement

• Social media

• Outstanding club officers

• Community service

• Outstanding Key Club members and advisors

  
  

The Annual Achievement Report (AAR) is especially important. All clubs are encouraged to complete it, and it can also help your club see where you are doing well and what areas you can continue working on throughout the year.

Contests & Scholarships

There are also several opportunities for members to showcase their creativity and talents, including poster, scrapbook, oratorical, talent, video, essay, and T-shirt contests. Many of these have deadlines around the 2027 Service & Leadership Conference registration on March 12, 2027, while the District Essay Contest is due February 28, 2027.

Senior Key Club members should also keep the Georgia District Leadership Scholarship in mind. The application is due January 31, 2027, with one $1,000 scholarship awarded at the 2027 SLC.

Keep Your Records!

Start a folder for your club now and save:

• Monthly reports

• Meeting minutes

• Service-hour records

• Fundraising totals

• Photos and flyers from projects

• Award documentation

• Important receipts and reimbursement records

If you don't record it, you may not be able to prove it later! Keeping accurate records throughout the year makes reporting easier, protects your club's history, and gives you the documentation you need when applying for awards.

Don't wait until January to start preparing. Start recording, reporting, and celebrating your club's accomplishments now!
